Privacy notice
What we do with your information, how long we keep it, and your rights.
1. Who we are
The company responsible for your information is Gavin J Reynolds & Son Family Funeral Directors Limited. It is registered in England and Wales, company number 10734263. The registered office is 78 Sea Road, Fulwell, Sunderland, SR6 9DB.
You can ring us on 0191 548 7000 or email info@grfunerals.co.uk.
We are registered with the Information Commissioner’s Office under reference ZB328934. We have not appointed a data protection officer.
2. What we collect
The contact form asks for your name, your phone number and your email address.
It also asks whether you need us now or are planning ahead, and when you would rather we rang.
You can ask for a call back. What you write in the message comes to us as you wrote it.
The estimate page asks for your name, your phone number and your email address, so it can send us the choices you made and so we can ring or write back to you.
If you tick the box asking for a copy of your estimate, we email that copy to the address you gave. Nothing is sent to you if you leave it alone.
3. Why we hold it
We use your details to answer you, and to arrange what you ask us to arrange.
The lawful basis is Article 6(1)(b) of the UK GDPR. That covers steps taken at your request before a contract, and the contract itself.
The checks that stop the forms being used for spam run on Article 6(1)(f). That is our legitimate interest in keeping them working.
4. Sensitive information
Arranging a funeral can involve religion, belief or health. The law calls that special category data. You do not need to put any of it in the form.
If you choose to tell us something like that, we treat it as given with your explicit consent. That is Article 9(2)(a) of the UK GDPR. You can withdraw that consent at any time by telling us.
5. Who else sees it, and where it goes
Two companies handle your message for us, under written contracts. Vercel hosts this website. The email is sent by Resend, a trading name of Plus Five Five, Inc.
The developer, Luke Duff of lukeduff.co.uk, looks after this website for us and has access to it to do that.
Both companies are in the United States. Vercel transfers under the UK addendum to the standard contractual clauses. Resend’s contract carries the standard contractual clauses.
Nobody else is given what you send us through this website.
If you press “View our location on Google Maps” on a branch page, the map loads from Google. Google receives your IP address and may use cookies, under its own privacy policy. Nothing loads from Google unless you press it.
6. How long we keep it
This website stores nothing. There is no database behind it, and no copy of what you send is kept on the server.
Your message sits in our email inbox. If we go on to arrange a funeral for you, your details go into a paper file. That file is kept until the funeral is over, then scanned into our office system, which is password protected.
We keep it for 6 years after the funeral, the same period as our tax records.
7. People we name on this site
We publish the first name and surname of families who left us a public Google review. Their words appear exactly as they wrote them, with a link to the listing. We also publish the names, roles and biographies of the people who work here.
The basis is Article 6(1)(f), our legitimate interest in showing families who we are and what other families said.
If you are named here and would rather you were not, ring 0191 548 7000 or email info@grfunerals.co.uk. We will take it down the same working day, and we will not ask you why.
8. Funeral notices
Where we publish a funeral notice, we do it at the family’s request, and we record who asked. If you are family and want one amended or removed, tell us and we will deal with your request as promptly as possible.
9. Your rights
You can ask for a copy of what we hold about you. You can ask us to send that copy in a form you can pass on to somebody else.
You can ask us to correct it, to delete it, or to stop using it for a while. You can object to the two uses of Article 6(1)(f) above, and you can withdraw any consent you gave.
Ask by phone on 0191 548 7000, or by email to info@grfunerals.co.uk. We will answer within a month.
If you are unhappy with how we handled it, you can complain to us under section 164A of the Data Protection Act 2018. You can also complain to the Information Commissioner’s Office under section 165.
10. Cookies
We count visits with Vercel Web Analytics and Speed Insights. They do not use cookies and cannot tell who you are.
If you say yes, we also use Google Analytics, which sets cookies. The basis for that is your consent, under Article 6(1)(a) of the UK GDPR. You can withdraw it at any time on the cookie page.
What each one collects, and the controls to turn them off, are on the cookie page.
